This collaborative review is essential for aligning on what matters most, whether its data security, integration, future scalability or usability. By facilitating semi-structured and open dialogue, organizations can move beyond individual preferences to shared priorities.

Step 3: Identify and Review A Shortlist of Systems That Meet the Consensus

At this stage it is important to participate in demos, engage in Q&A sessions and hands-on evaluations to be able to communicate to stakeholders how each option aligns with need. The goal isn’t to tactically select a system; it’s to ensure the final choice is sustainable, relevant, and successfully adopted within the organization.
